Wedding Guest Transportation in Chennai: How to Plan Cars, Vans and Buses
Nobody remembers the wedding vehicle schedule when it works. Everybody remembers it when it does not — the aunt waiting forty minutes at the hotel, the baraat bus that left without the groom’s cousins, the outstation relatives who could not find their ride from the station.
Guest transport is one of the few parts of a wedding that is almost entirely logistics, which means it can be planned well. Having moved wedding and event guests since 2006, here is how we would plan it at APJ CABS.
Step 1: Map the Movements, Not the Vehicles
Do not start by asking “how many cars do we need?” Start by listing every time a group of people needs to go somewhere. Most weddings have the same handful of movements:
- Arrivals: airport and railway station pickups, often spread over a day or two
- Hotel to venue: the big morning and evening shuttles
- Between ceremonies: mehendi, sangeet, reception, muhurtham, often at different venues
- Family and VIP movements: bride, groom and parents, plus special guests
- Departures: the day after, when everyone leaves at once
Once you have the movements and rough headcounts for each, the vehicle choice becomes much easier.
Step 2: Match the Vehicle to the Group
| Group size | Vehicle | Typical use | Starting rate |
|---|---|---|---|
| 2 to 4 | Innova Crysta | Family elders, airport pickups | ₹4,250 / 8 hrs |
| 5 to 7 | Kia Carnival | Close family, special guests | ₹6,000 / 8 hrs |
| 8 to 12 | Tempo Traveller | Friends, cousins, hotel shuttles | ₹5,500 / 8 hrs |
| 8 to 12 (premium) | Force Urbania | VIP delegations, in-laws | ₹12,000 / 8 hrs |
| 25 to 42 | Bus (25 to 42 seater) | Baraat, big shuttles | ₹15,000 to ₹20,000 / 12 hrs |
Chauffeur and fuel included. Toll, parking and permit charges extra; GST additional. Buses are priced for 12 hours and up to 150 kms.
When a Bus Beats Ten Cars
The moment you are moving more than about 25 people in one go, a bus starts to make sense. One vehicle, one driver, one pickup point — and a group that stays together instead of arriving in a trickle of cars.
We have buses from 25 to 42 seaters. Choose by headcount, with a little breathing room. A full 40-seater with luggage is a squeeze; a 42-seater for 35 guests is comfortable.
Step 3: Build a Sample Plan
Here is how a mid-sized wedding with about 120 outstation guests might look. This is an illustration, not a quote — your numbers will differ.
| Movement | Vehicles | Base cost (before toll, parking & GST) |
|---|---|---|
| Hotel to hall shuttle, wedding day | 3 × 40-seater buses | 3 × ₹18,000 = ₹54,000 |
| Family elders, local running | 2 × Innova Crysta | 2 × ₹4,250 = ₹8,500 |
| Airport and station pickups | 2 × Tempo Traveller | 2 × ₹5,500 = ₹11,000 |
| Couple and parents | 1 × premium sedan or SUV | As per choice |
Tip: always keep one spare vehicle on standby on the wedding day. Someone will oversleep, a function will run late, or an elder will need to leave early. A spare costs little and removes a lot of stress.
Step 4: Appoint One Point of Contact
The single biggest improvement you can make is naming one person — a sibling, a cousin, a wedding planner — who has the driver numbers and the schedule. When a guest calls the family asking where their car is, the answer should be one phone call away.
Give us the schedule in writing: pickup time, location, number of guests, and a contact name at each stop. It is the single most useful thing a family can do for us, and it shows in how the day runs.
Step 5: Do Not Forget the Bridal Car
The bride and groom’s own arrival is its own moment, and many families want something special for it. If that is on your list, take a look at our bridal car rental options, and for the wider event picture our event transportation service covers weddings, conferences and large gatherings end to end.
A Short Checklist Before You Confirm
Have these ready
- Date and timing of every function
- Approximate headcount per movement
- Pickup and drop addresses
- One contact name per group
Ask us about
- Spare vehicle on standby
- Parking at the venue
- Toll and permit charges
- Early morning or late-night timings
The short version: list the movements first, match cars to small groups, vans to mid-sized groups and buses to big ones, keep a spare on standby, and give us the schedule in writing.
